The Real Cost of a Youth Sports Tournament Weekend

The entry fee is usually the smallest number in a tournament weekend. The real cost is everything around it, and it's easier to make a good decision when you add it all up before you register, not after.

The simple formula

Weekend cost = team fees + travel + lodging + meals + parking and tolls + incidentals + what you'd lose if you had to cancel

Prices vary too much by sport, region, and season for anyone to give you a useful "typical" number. Use your own quotes. Fill in the worksheet below for one event, then reuse it for the next.

Where lodging choice shows up in the math

Lodging is often the line with the most room to move, and it's the one stay-to-play programs take out of your hands. When you can book anywhere, you can compare the team block against hotel points, a rental with a kitchen (which also cuts the meals line), or staying with family nearby. Sometimes the team block still wins. The point is that you get to run the comparison.

If an event requires a designated hotel or portal, put that rate in the lodging line as-is, and add any buyout fee to team fees. That's the honest number for that event.

Don't skip the cancellation line

Kids get sick, weather happens, and teams withdraw. Before you book, check whether your room can be cancelled and by when, and whether the event refunds entry fees. A cheaper non-refundable rate isn't always cheaper.

Compare events, not just hotels

Running this worksheet for two or three events side by side tells you more than any single rate. Multiply it by the number of kids and events in a season and the planning pays for itself.
